Quotation template

A quote is a promise with an expiry date. Get those two things right and the rest is formatting.

The validity date is not optional

Material prices, freight and exchange rates all move. A quote without an expiry is a price you promised forever, and buyers do come back six months later holding one.

Put Valid Until on the face of the document, not in the small print. Thirty days is the common default; shorter if your inputs are volatile.

Specification is what stops the argument

Most disputes about a quote are not about the number — they are about what the number covered. "Steel bracket, $4.20" invites trouble. "Steel bracket, 304 stainless, 3 mm, brushed finish, $4.20" does not.

Say explicitly whether the price includes shipping, duties and tax. If it does not, one line saying so is worth the space.

Quoting the same thing to twenty customers

Trading and wholesale means sending near-identical quotes with different customers, quantities and prices. Keep them as rows in a spreadsheet: one row per quote, columns for the bits that change. You get consistent documents, and a record of every price you quoted — which matters when the customer says "you told us $11.80".
