The arithmetic has to be visible

A statement that shows only "you owe $4,820" invites a phone call. A statement that shows opening, charges, payments and closing lets the customer reconcile it against their own books without talking to anyone — which is the entire point.

Make sure the four numbers really do add up. Export them from your accounting system rather than typing them; a statement with arithmetic that does not work destroys trust in every other number you send.

It is a collections tool, not just a record

Most overdue payments are not refusals — they are invoices that fell through a gap. A monthly statement catches those quietly, before anyone has to make an awkward call.

Send it on the same day every month. Predictable statements get processed; irregular ones get filed.
