Certificate Batch Starter: Word Template and Excel List
Start a certificate batch with a matching Word template and Excel list. These existing sample files use the same six field names, so you can inspect the inputs before preparing your own list. The example names and institution are demonstration content.

| Course Name | {{Course Name}} | Full course title and line wrapping |
| Cohort | {{Cohort}} | The group or cohort label |
| Training Hours | {{Training Hours}} | The intended value and unit |
| Certificate No | {{Certificate No}} | Unique identifier, including any leading zeros |
| Completion Date | {{Completion Date}} | The date and its displayed format |
Try a small batch first
- Open the downloaded Word file and list. The supplied list contains five illustrative records. Keep a copy before editing.
- Replace the demonstration institution and fixed text in Word. Keep each double-brace placeholder intact; these are the fields used by Docs from Excel.
- Prepare one row per certificate. Keep headings on the first row, remove unintended empty records and review repeated certificate numbers.
- Open Docs from Excel and upload the matching template and list. Review the field mapping before generating.
- Check the output count against your intended rows. Inspect the longest name, course title, identifier and date before using the full batch.
Common questions
Is this a native Word mail-merge field template? It uses double-brace placeholders for Docs from Excel. Word’s built-in mail merge uses its own merge fields; the two systems are different.
Can I just change the participant names? Review all six columns and the fixed template text. Leaving a sample institution or course in place can produce an incorrect certificate even when the name is right.
What if extra empty certificates appear? Check which source rows are being included. See the blank-record checklist for the distinction between an empty record and an empty line in a document.
